The European Union Delegation to the United States of America in Washington DC is looking for:
Temporary Assistant to the Political, Security and Development Section
2 month contract
We offer the temporary post of Assistant in the Political, Security and Development Section. The team consists of eighteen people and there are occasional atypical working hours. Under this job function the successful candidate will be responsible to the Head of the Political, Security and Development Section for the following tasks and duties:
- Assistance in organisation of visits, calendar management, arranging meetings, speaking engagements, transport, missions (flights, hotels, expenses & MIPS). Liaise with EUDEL, HQ BXL and US officials on behalf of the Section;
- Organisation of meetings at the EU Delegation including sending out invitations, monitoring responses, booking of meeting rooms, welcoming visitors/outside speakers, requesting hospitality, security clearance etc;
- Overall organizational and administrative management of the Section with the two other PSD Assistants and also providing support in particular to the five colleagues dealing with Europe/Pol-Mil/Africa/Middle-East/Asia/Americas;
- Assistance as necessary in compiling briefings for the HOD & DHOD;
- Drafting and processing of transmission letters to and from senior US & Brussels officials and US organisations;
- Working with ARES document management system – Weekly Political E-note; formatting, sending and filing of E-notes and other reports and assisting colleagues;
- Arrange/assist with visit programmes for Brussels officials, including VIPs – logistical support; maintaining records; liaising with hotels and Brussels;
- Logistical support and organization of meetings (internal Delegation meetings, Conference calls) as well as any external meetings, conferences, seminars, others – organized by Delegation) and maintaining PSD records;
- Logistical support to missions and assisting with MIPS;
- Back-up of the other PSD Assistants when needed, particularly to ensure continuity during holiday periods;
- Any other secretarial tasks
- Provide back-up for the other Section’s Assistant
